How Incubyte Turned a Therapist's Weekly Goal into a Daily Caregiver Prompt with Claude

Incubyte built the layer that turns a provider’s spoken goal into a daily prompt caregivers can act on the same day, keeping a child’s progress moving through the 167 hours between weekly sessions.

    The Impact

    What this delivers in production

    1,645 prompts

generated by Claude from 58 session notes, with each note producing roughly 28 daily caregiver-facing prompts without additional therapist effort

    <1% failure rate

across 1,659 prompt generation attempts, demonstrating that the pipeline holds up at real production volume

    17 caregivers

16 care recipients and 5 therapists actively using the system in production

A child's therapy session runs about an hour a week.

The other 167 hours were the gap SayWell was built to close. Specifically the fact that a caregiver or parent facing a hard moment at 7am on a Tuesday doesn’t have anything from earlier sessions to draw on and the clinician also has no structured way to learn what happened at home before the next appointment. The clinic itself has no record of what took place between sessions at all.

SayWell asked Incubyte to help build the layer that turns a provider’s spoken or typed goal, given in under a minute, into something a caregiver can use the same day.

Claude’s role is bounded on purpose. It does not diagnose, does not set treatment goals, and does not give advice outside what the provider already stated. It does not chat with families, and it is not a crisis service. Every prompt is grounded strictly in a goal a licensed provider set for that specific child.

Incubyte used Claude to convert a provider's goal into a single daily prompt.

built around three parts: what to do in the moment, the exact words to say, and why it matters for the child’s development. Every caregiver in the child’s care circle — a parent, a grandparent, a nanny — gets the same prompt.

For a child seeing more than one type of therapy, such as occupational therapy on Monday and speech therapy on Thursday, Claude draws from whichever provider saw the child most recently. This ensures the family gets one coordinated daily prompt instead of separate, disconnected guidance from each discipline.

Caregivers act on the daily prompt and log what happened at home,

and that feedback reaches the provider before the next session, not after, closing a loop that had no structured logging before.

That removes the daily guesswork over which instruction to follow, making the exercise more likely to happen regularly. It gives providers one clean record of home practice to weigh against how the child performs in the next session.
